X~Suite starts helping even before you have made your first sale to a client. It enables you to register details and manage your potential sales, be they with existing customers or new prospects. You can raise quotations and when accepted convert these to sales orders, creating new customer details (subject to credit vetting) when appropriate. You can also create letters that are automatically filed in the appropriate customer/prospect folder. Account hold facilities make sure that customers who have reached their credit limit or have overdue accounts cannot receive further deliveries until the situation is rectified or the appropriate manager authorises them. Sales Order entry is flexible and efficient. There are options to suit the minimalist (get it in as quick as possible) and more complex order processing requirements. Product ‘Available to promise’ information can be shown making it effective for telesales from stock. If you sell a wide range of products via reps on the road, you could also take advantage of our Psales-Rep handheld order taking system that downloads orders to X~Suite via modem or the Internet. Alternatively you could set up a web based ordering system using our links to third party products. Back orders and scheduled deliveries are standard features and if you also use X~Suite Purchasing or Manufacturing options you can set up back to back Purchase and Works orders. Product pricing is as simple or complex as you need it to be. Revised price lists can be prepared well in advance and become valid on the effective date or orders can be entered with forward prices using a ‘Price as’ date. Of course X~Suite has a wide range of options for stock allocation and picking from simple first come first serve to ‘What if’ picking, based up cube/weight, for distribution truck loading. The X~Suite stock control system has multi-warehouse/depot capability and, at each warehouse, can show the contents of multiple stock locations and/or ‘supply lots’ for the same product. This set up facilitates ‘lot traceability’ and serial number tracking. X~Suite also enables cross or inter warehouse/depot picking and will even produce a pre-pick that will transfer the appropriate products to the despatch warehouse ready for final picking. For all picking methods you can use our options for handheld, voice operated or Radio Frequency (RF) terminals.

Sales invoicing facilities allow printing to your format and production of credit notes with
or without product returns. These and any other documents may be sent via email or fax using
the appropriate address from the contacts database.
X~Suite does not expect you to search through all of your data to find the really important facts. System Alerts is a facility that enables you to set up rules about exceptional circumstances and identify who to alert by email. For example email the rep if a delivery is to be late or alert the Credit Controller when new accounts need credit vetting etc. |
