Document Archiving is part of the X-Tranz suite from BAC.
It is a facility that enables specified documents to be archived onto computer
disc space as they are printed. Archived documents are available on-line for enquiry
or printing so you no longer need to keep hard copies.
The archive programs, running on your Unix or Linux server, receive details
of relevant documents as they are being printed, pack the data to save disc space
and catalogue the documents so that they are accessible via relevant key fields eg.
Account number, Invoice number etc.
Document Archiving comes with facilities that allow archived documents to be browsed
online and re-printed if required. Access is via relevant key fields defined by the user.
Typical example of Document Archiving in use. Sales invoices are printed via your
normal Invoice printing program (maybe utilising the X-Tranz Printing
facility to overlay your stationery layout onto the data).
Only a single invoice copy is required to be printed because the office copy will
be available online on the computer. Document Archiving archives the invoice records,
filing them for easy retrieval.
The enquiry program provides search facilities to locate relevant documents eg.
browse all recent invoices for a customer. When selected, the invoice may be viewed
in detail or re-printed.
Document Archiving also has an API option available that enables your application
programs to be altered so that they can 'drill down' to the actual document data.
